Berikut saya jabarkan sedikit mengenai proses audit ISO 9001:2008. Ada 4 tahapan utama dalam proses audit yaitu:
– Preparation
– Conducting
– Reporting and Follow up
– On Going surveillance

Pada tahap preparation yang harus dipersipkan adalah:
– briefing singkat dari audit yg akan dilakukan
– menentukan scope
– mengorganisir logistik yg dibutuhkan
– membuat audit plan
– membuat check list
– briefing auditor

Pada tahap conducting berjalan proses berikut:
– opening meeeting
– site tour
– stage 1 audit ( documentation or desktop audit )
– stage 2 audit ( process based audit )
– audit team meeting
– auditee feedback meetings

Pada tahapan reporting dan follow up berjalan proses berikut:
– confirm finding
– prepare report
– closing meeting
– follow up of corrective action

Ketika sebuah organisasi / sekolah hendak menerapkan ISO 9001:2008 maka dokumen penting yang harus dibuat adalah quality manual ( clause 4.2.2 ) dimana di dalamnya harus berisi 3 hal sbb:
1) ruang lingkup / batasan / scope yang akan diterapkan beserta keterangan exception jika memang ada subclause dari clausa 7 yang dikecualikan. Ketika sebuah organisasi certified ISO 9001:2008 yang perlu kita lihat pertama kali adalah dalam konteks atau scope apa? Sebagai contoh ada sekolah yg certified ISO tapi hanya mengambil scope di administrasi pembelajarannya saja.

2) Daftar / tabel prosedur-prosedur yang digunakan. Dalam clause di ISO 9001:2008 terdapat pernyataan enam prosedur tertulis, yaitu:
– control of documents ( 4.2.3 )
– control of records ( 4.2.4 )
– internal audit ( 8.2.2 )
– control of non conforming ( 8.3 )
– corrective action ( 8.5.2 )
– preventive action ( 8.5.3 ).
Ada interpretasi bahwa 6 prosedur diatas adalah wajib dan minimal dipenuhi oleh organisasi, akan tetapi ada juga interpretasi yg mengatakan itu adalah 6 proses wajib. Terlepas dari kontradiksi tersebut pemenuhan angka 6 lebih atau kurang harus kita sesuaikan dengan proses yang dimiliki oleh organisasi tersebut.

3) gambar / deskripsi proses-proses yg berjalan dan keterkaitannya satu dengan yang lain. Gambar atau flow chart dari proses yang ada dan keterkaitannya satu dengan yg lain disajikan dalam bentuk diagram atau tabel dimana dalam setiap proses bisnis tersebut dicantumkan prosedur dan klausa terkait dengannya.

There are interesting terms in iso 9001:2008, they are:
– effective -> the right things
– efficient -> the things right

– validation -> the right product?
– verification -> the product right ?

– leader -> the right things ?
– manager -> the things right ?

– continuous -> increase without pause, straight linear line
– continual -> increase with pause, stair step by step line

– correction -> corrected without looking the root cause problem
– corrective -> corrected with looking the root cause problem

– ISO 9001-> talked about effectiveness
– ISO 9004 -> talked about efficiency

There are two references that you can use for ISO certification if you’re an educational organization, i.e school or university where educational services is your product and learners is your customer.
